Why do we need stakeholder email addresses?

When you record equity on Capdesk, we require an email address for the stakeholder and this article explains why we require it.

At Capdesk, we use email addresses to uniquely identify each stakeholder. This is unless the stakeholder is a company, where the registration number denotes the unique identification.

If you would like to issue a new stakeholder equity, you will have to add the stakeholder onto Capdesk.

To do this, with the equity being shares for example, click Shares (under Ownership) -> Transactions -> Shares (Green Button) -> Issue Shares.

Then click on 'Or Add a New Buyer Instead'.

Now add the details of the stakeholder and specify their unique email address.

The stakeholder will now be saved onto Capdesk. If you would like to issue the stakeholder further equity, instead of adding a new buyer, the stakeholder will appear in the 'Add Buyer' dropdown list.

After you have issued the equity to the stakeholder, they will appear on your Cap Table (under Ownership). If you would like to change the stakeholder's email, click the corresponding Action Button (3 dots) -> Modify Stakeholder.

Edit the email address to how you wish (this will need to be unique and not exist on Capdesk) and then click 'Save Stakeholder'.

If you accidentally record different issuances for a stakeholder with different email addresses, the Cap Table will show two separate stakeholders.

Editing, for example matt@phillips.com -> matthew@phillips.com, you will be met with the following error message.

Editing the email address to another stakeholder's email will not consolidate the issuances. Instead, an issuance would have to be deleted and reissued to the correct stakeholder.

To delete an issuance, go to Shares (under Equity Awards) -> Transactions -> click the corresponding Action Button -> Delete.

If you face an example where deleting and reissuing equity is not feasible, please contact Capdesk support.

Once all data has been reviewed and is correct, the account can go live and the data will be published. This will send an email to all of the stakeholders email addresses, inviting them to Capdesk. 

If you wish to export a report of all stakeholder emails, click Shares (under Ownership) -> Transactions -> Exports -> Shareholder Register.
